2. Information We Collect

We collect the following categories of personal information:

• Order Data: Drink selections, customisation preferences, quantity, and order timestamps collected at the vending machine kiosk.
• Payment Information: Transaction reference numbers, payment method type (UPI/card/NFC), and transaction status. We do not store full card numbers or UPI credentials.
• App Account Data: Name, email address, phone number, and order history if you create a Chillbot app account.
• Device & Usage Data: IP address, device type, app version, and interaction logs for the purpose of improving service quality.
• Contact Form Data: Name, email, phone, message, and inquiry type submitted through our website contact form.
• Location Data: General city/region location to recommend nearby Chillbot machines (only with your permission).

3. How We Use Your Information

We use the information we collect for the following purposes:

• To process and fulfil your beverage orders at Chillbot machines.
• To enable payment processing through our PCI-compliant payment partners.
• To maintain your order history and loyalty rewards within the Chillbot app.
• To send you receipts, order confirmations, and support communications.
• To improve our machine performance, menu offerings, and user experience based on aggregated usage patterns.
• To respond to your inquiries, franchise applications, and support requests.
• To send you promotional offers or newsletters, only with your explicit consent.
• To comply with applicable laws, regulations, and legal obligations in India.

4. Payment Data

All payment transactions at Chillbot machines are processed through RBI-compliant payment gateway partners. We do not store, log, or have access to your full card number, CVV, UPI PIN, or bank account credentials.

Transaction reference numbers are stored for up to 90 days for reconciliation and refund processing purposes.

5. Sharing of Information

We do not sell your personal information to third parties. We may share data only in the following limited circumstances:

• Payment Partners: Transactional data is shared with authorised payment gateway providers for processing.
• Service Providers: We engage trusted vendors for cloud hosting, analytics, and customer support who are contractually bound to protect your data.
• Franchise Partners: Aggregated, anonymised sales data may be shared with the franchise partner at whose location your order was placed. No personally identifying information is shared.
• Legal Requirements: We may disclose information when required by law, court order, or government authority in accordance with the Information Technology Act, 2000 and applicable Indian regulations.

6. Data Retention

We retain personal data only for as long as necessary:

• Order and transaction data: 1 year from the date of transaction.
• App account data: Until account deletion, then 30 days for backup clearance.
• Contact form submissions: 6 months from the date of submission.
• Machine logs and analytics: 2 years in anonymised, aggregated form.

Under applicable Indian data protection law and globally recognised privacy principles, you have the right to:
